Retrospectives

Easy Agile TeamRhythm supports agile retrospectives, helping you and your team gain a shared understanding of the work, and how you work best together. You can navigate to Retrospective via the Project Sidebar.

Retrospectives for Scrum board

You can navigate to your retrospective board in a scrum board via the project sidebar. Retrospective boards are created automatically for every sprint that is created on the backlog. You can also navigate to the retrospective board for a particular sprint via the sprint swimlanes in the User Story Map. Click on the Retrospective drop-down and select View Retrospective to be navigated to the board.

Retrospectives for Kanban board

You can navigate to Retrospectives in a kanban board via the project sidebar. To create a retrospective board, click on the Create Retrospective button at the top of the screen. This will create a retrospective board where retrospective items can be added.

You can also navigate to the retrospective board from the backlog swimlanes in the User Story Map. Click on the Retrospective drop-down and select View Retrospective to be navigated to the board.

Creating a retrospective item

There are multiple ways to create a retrospective item in the retrospective board to support different ways of retrospectives.

Creating a retrospective item in the retrospective board

  • Navigate to the retrospective board

  • Click on + Add item under the retrospective board columns

  • Enter the retrospective item

Creating retrospective item from User Story Map swimlane

  • Click on the Retrospective drop-down in the Story Map swimlane

  • Click on Add Retrospective Item

  • Select the required column from the drop-down under which the retrospective item should appear on the board

  • Enter retrospective item

  • Click on Save

Creating a retrospective item from the Quick Actions menu

You can create a retrospective item for a particular Jira issue via the Quick Actions menu in the Story Map. You can open the Quick Actions menu in 2 ways: right-click or by hovering over the issue and clicking on the  menu.

  • Open Quick Actions menu

  • Click on Add Retrospective

  • Select the required column from the drop-down under which the retrospective item should appear on the board

  • Enter retrospective item

  • Click on Save

Retrospective item will appear in the board under the selected column.

Retrospective item will appear in the retrospective board with a link to the related issue.

Configuring retrospective board

Edit column titles

The retrospective board is created automatically with the following columns:

  • Start - What should we start doing?

  • Stop - What should we stop doing?

  • Continue - What should we continue doing?

  • Action - What actions can be taken?

The Start, Stop and Continue columns can be changed to desired headings if you would like to follow a different template for team retrospective.

To change the column headings and sub-headings, simply click on the heading and enter the required headings.

The changes made to retrospective boards are saved and the future boards will be created with the new headings and sub-headings.

Add new column

An additional column can also be configured in the retrospective board from the Settings button.

To enable the additional column:

  • Click on Settings

  • Click on Add column

  • Edit the column title and description

Hide column

To hide the additional column:

  • Click on Settings button

  • Toggle off the additional column button

Managing a Retrospective Item

Move Retrospective Items

You can move a retrospective item from one column to another on the retrospective board. This can be done via the Quick Actions menu. You can open the Quick Actions menu in 2 ways: right-click or by hovering over the issue and clicking on the  menu.

  • Open Quick Actions menu

  • Click on Send to

  • Select the required column

Delete Retrospective Items

You can delete a retrospective item if it is not required any further in the retrospective board.

Categorise Retrospective Items

You can add categories to retrospective items to identify similar themed items. This can be used to identify and analyse continuous improvement areas and creating action plans to address them. You can add a category via the quick actions menu.

  • Open Quick Actions menu

  • Click on Send to

  • Select the required column

To only view retro items related to particular categories, you can use Filter by option in the Settings to filter the retro board view.

  • Click on Settings button

  • Navigate to Filter By option

  • Select the required Categories

Comment on Retrospective Items

Comments can be added on each retrospective items to discuss, clarify or add more details. You can add comments via clicking on the Comment icon.

  • Click on the Comment icon

  • Enter comment

  • Click on Submit to save the comment

You can expand/collapse comments depending upon the desired view. Comments can also be deleted via clicking on the … icon.

Vote on Retrospective Items

You can vote on any retrospective items on a board. Voting can be performed once on any retrospective items. You can downvote or upvote retrospective items.

Sort Retrospective Board

You can view the retrospective board ordered by number of votes or creator using the Sort By option. This is useful while discussing retrospective items with the team.

  • Click on Settings button

  • Select the preferred option (Votes or Creator)

  • Click on the selected option again to go back to the initial view which is ordered by created date

Creating Action Plans

Creating action plans are an essential part of conducting retrospective to enable continuous improvement. Creating action items is easy on Easy Agile TeamRhythm Retrospectives view and follow the same process as creating retrospective items. Click on + icon under the Actions column to start creating action items. You can create action item as a Jira issue to track retrospective action items as part of your backlog.

To create action item as a linked Jira issue:

  • Click on Create linked Jira Issue at the time of action item creation

  • Select required issue type

  • Click on Submit icon

OR for existing action items

  • Right click on action item/click on the Quick Actions menu

  • Select Create Jira Issue

  • Select the required issue type

  • Click on Submit icon

You can assign the action items in the retrospective board by clicking on the user icon and selecting the required assignee from the drop-down.

You can delete action items via the Quick Actions menu.

Mood Survey

Mood Survey is available for each retrospective board to understand the emotional state of the team and identify improvement opportunities to improve team morale. Each team member can vote on the desired emoji which best expresses their feelings throughout the Scrum sprint / Kanban cycle. The happiness index is calculated by dividing the number of happy (😀 or 🙂) votes by the number of total votes and multiplying the results by 100. Measuring happiness index can provide an indication of team’s well-being and we recommend using the Mood Survey for each retrospective.
